Price list changes
Each price list is based on a sales offer. Sales normally provide a CSV-Import file together with the PDF offer to the CRM department. New price list (versions) always shall be created using the import CSV to avoid failures and save time.
Offers sent by sales can always mean to either create a new price list or create a new price list version. Changes in an active version are to be avoided and are very uncommon as it has direct effects on running orders and invoices. An exception from that rule are supplementary offers.
Sales provide offer mails with additional information like:
- order is already been placed
- customer is new
- type of the price list (customer, project, Child etc...)
- Activity regarding version: New version or not
- Relation to category price list
The mail can come in the following variations:
- Offer PDF including CSV without price list ID
- Normally price list version increase for existing customer or new price list for new customer.
- As sales do not always know price list IDs from LIMS it has no meaning that no price list ID is sent.
- Offer PDF including CSV and price list ID (our sign: PL XXXX)
- New price list version update based on an existing price list. Check if new version need to be created or existing version needs an update.
- This can not be a Child list.
- CSV file (no PDF) without price list ID
- This is probably a new Parent price list. Double check information from mail!
- CSV file (no PDF) with price list ID
- This is probably a new version of a Parent price list. Double check information from mail!
- Offer PDF (no CSV) with Parent price list ID (our sign: GL XXXX)
- Child list need to be created or validity date of existing Parent child list need to be adjusted.
Validity dates
Sales is always providing validity dates of offers. These validity dates must always be checked in the CSV and correctly inserted into the system. In case validity dates do not match an existing version or fit as the new future version, contact the sender and clarify which validity is correct.
Supplementary offer
Customers sometimes need additional parameters or packages for an existing offer. This may result in a supplementary offer containing only a few additional parameters/packages. These offers do have a shorter validity date as it must match the existing offer date. In this case the current active price list version can be extended with the additional entries.
Supplementary offers not matching the validity dates of the base/main offer, may be given back to sales including the request of correction.
